Vast, a commercial space infrastructure company based in Long Beach, California, is hiring a full-time Lead Recruiting Coordinator to drive recruitment operations and executive scheduling for our rapidly growing organization.

The Opportunity

As Lead Recruiting Coordinator, you'll report to our Senior Manager of Talent Operations and serve as the central hub for recruitment logistics and scheduling throughout the company. You'll manage complex interview panels, executive meetings, and onsite candidate experiences while maintaining the highest standards of confidentiality and professionalism. Your role will establish best practices for recruitment coordination and drive the operational efficiency needed to scale our talent function as Vast expands its team and operations.

Core Duties

  • Own executive and senior leadership calendar management, coordinate multi-party interviews, and execute flawless onsite logistics.
  • Safeguard candidate confidentiality across all touchpoints—from initial communications through tool access and interview execution.
  • Collaborate with recruiters, hiring managers, and executive assistants to eliminate scheduling bottlenecks and strengthen the candidate experience.
  • Develop and maintain metrics tracking recruitment velocity, interview throughput, and SLA performance.
  • Document and refine recruitment coordination procedures, ensuring processes remain current as the organization scales.
  • Identify process gaps and inefficiencies, then design and implement solutions.
  • Lead by example, mentoring other coordinators and establishing team standards for excellence.

Qualifications

  • 5+ years in recruiting coordination or equivalent, with demonstrated experience managing executive-level scheduling.
  • Proficiency with applicant tracking systems; experience with Greenhouse is highly valued.
  • Excellent project management, written communication, and interpersonal skills.
  • Proven track record building or overhauling recruitment processes and systems—not just maintaining status quo.
  • Comfort with workflow automation, systems integrations, or recruitment technology implementations.
  • Success operating in fast-scaling environments with ambiguity and incomplete information.
  • Strong ownership mentality oriented toward measurable outcomes and continuous iteration.
