About the Role

As Program Operations Specialist for the Department of Psychiatry and Behavioral Sciences at the UW School of Medicine, you will be the organizational backbone that keeps departmental programs running smoothly. You will manage schedules, documentation, communications, and logistical workflows across multiple clinical and research initiatives in a dynamic, academic medical environment.

What You'll Do

  • Manage departmental calendars, meetings, and events while juggling competing priorities across programs and initiatives
  • Handle administrative duties including correspondence, data entry, filing, records management, and compliance documentation
  • Support budget management, expense tracking, purchasing, and financial record-keeping
  • Serve as a central communication point between the department, university administration, and external stakeholders
  • Maintain databases and systems that track departmental operations, staffing, and program activity
  • Assist with recruitment, hiring coordination, and onboarding processes for departmental personnel
  • Coordinate educational seminars, continuing medical education events, and professional development activities
  • Ensure ongoing compliance with university policies, healthcare regulations, and medical center procedures

What We're Looking For

  • Bachelor's degree or equivalent professional experience in program administration, office management, or operations
  • Proven experience in administrative support or program coordination roles
  • Strong organizational skills, detail orientation, and ability to manage multiple projects concurrently
  • Excellent communication skills, both written and verbal
  • Proficiency with Microsoft Office, database systems, and administrative software
  • Ability to work both independently and collaboratively within teams
  • Experience in academic medical settings, healthcare administration, or university operations is valued
