U.S. Bank is hiring a full-time Executive Administrative Assistant – Payments Merchant and Institutional to support senior leadership at its Grand Central, Manhattan office.
About the Role
This position sits at the center of U.S. Bank's Payments Merchant and Institutional business unit, providing high-level administrative and organizational support to executives in one of the most dynamic segments of the firm. Based in the heart of Midtown Manhattan, you'll serve as a critical partner to leadership — keeping operations running smoothly, communications flowing, and priorities on track in a fast-moving financial services environment.
What You'll Do
- Manage complex executive calendars, proactively resolving scheduling conflicts and prioritizing competing demands
- Coordinate domestic and international travel arrangements, including itineraries, logistics, and expense reconciliation
- Prepare and distribute meeting agendas, briefing materials, presentations, and follow-up action items
- Draft, edit, and route confidential correspondence and executive communications on behalf of senior leaders
- Serve as a liaison between the Payments Merchant and Institutional team and internal business units, clients, and external partners
- Support project coordination activities, tracking deliverables and maintaining documentation across multiple workstreams
- Organize team events, off-sites, and leadership meetings from planning through execution
- Handle sensitive information with discretion and maintain strict confidentiality at all times
What We're Looking For
- 5+ years of executive administrative experience, ideally within financial services, banking, or a comparable regulated industry
- Demonstrated ability to support C-suite or senior-level executives in a demanding, high-volume environment
- Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools
- Exceptional written and verbal communication skills, with a professional executive presence
- Strong judgment and the ability to anticipate leadership needs before they arise
- Meticulous attention to detail and the ability to manage multiple priorities without losing accuracy
- High level of integrity and discretion when handling confidential business matters
- Bachelor's degree preferred; equivalent experience considered
