Procedure Coordinator position at Sound Pain Alliance in Olympic View, Kitsap County provides a full‑time opportunity to support the Peninsula Pain Clinic’s procedural workflow. This role serves as the central point for scheduling, patient coordination, and clinic operations.
About the Role
The Procedure Coordinator ensures that all clinical procedures are scheduled accurately, patients are prepared and informed, and the clinic runs efficiently from check‑in to follow‑up. Acting as a liaison between patients, physicians, and support staff, the coordinator helps maintain a seamless experience for everyone involved.
What You'll Do
- Manage the procedure calendar, booking appointments Monday through Thursday from 8 a.m. to 5 p.m. and Fridays from 8 a.m. to 1 p.m.
- Communicate with patients to confirm appointments, provide pre‑procedure instructions, and address questions.
- Coordinate with physicians, nurses, and technicians to ensure rooms, equipment, and staff are ready for each scheduled case.
- Maintain accurate electronic health records, procedure logs, and compliance documentation.
- Handle insurance verification, prior authorizations, and billing-related inquiries as needed.
- Assist with inventory tracking of procedure supplies and coordinate replenishment.
- Generate daily reports on procedure volume, cancellations, and clinic throughput for management review.
What We're Looking For
- Proven experience in medical scheduling, patient coordination, or a clinical administrative role.
- Strong organizational skills with meticulous attention to detail.
- Proficiency with electronic health record systems and standard office software.
- Excellent verbal and written communication abilities for interacting with patients and healthcare teams.
- Ability to multitask in a fast‑paced environment while maintaining confidentiality.
- Knowledge of medical terminology related to pain management procedures is a plus.
- High school diploma or equivalent; additional certification in medical office administration is preferred.
- Reliable, professional demeanor and a commitment to delivering high‑quality patient service.
