Position Summary

Pantheon Systems seeks an organized, detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior leadership. This role bridges strategy and execution, managing calendars, communications, and critical initiatives that keep our organization running smoothly. You'll work at the heart of our Chicago office, collaborating across teams to ensure our executives can focus on driving innovation in cloud infrastructure.

Key Responsibilities

• Manage complex executive calendars, scheduling meetings, travel, and events while maintaining confidentiality and discretion
• Prepare and organize meeting materials, agendas, and documentation for leadership discussions and presentations
• Coordinate travel arrangements, including flights, accommodations, and ground transportation
• Screen communications, handle correspondence, and prioritize incoming requests with sound judgment
• Track projects and deadlines, providing timely reminders and status updates to ensure accountability
• Support special projects and strategic initiatives as assigned by executive leadership
• Maintain confidential records and sensitive company information with professionalism and integrity

Qualifications

• 3+ years of executive assistant or senior administrative experience
• Exceptional organizational and time-management skills with ability to juggle multiple priorities
• Professional written and verbal communication skills with attention to detail
• Proficiency with office productivity software and calendar management tools
• Ability to maintain confidentiality and handle sensitive information responsibly
• Proactive approach to problem-solving and independent decision-making
• Strong interpersonal skills and ability to work effectively across all organizational levels
