Executive Assistant

Delos Data, an innovative early-stage startup in Palo Alto, Santa Clara County, is hiring a Part-Time Executive Assistant to support our leadership team and help drive operational success. About the Role

You'll serve as the operational foundation for our leadership team, managing schedules, coordinating strategic initiatives, and ensuring smooth execution across the company. In this part-time position, you'll work directly with executives to anticipate needs, solve problems proactively, and maintain the organizational systems that allow our team to focus on what matters most.

What You'll Do

• Manage executive calendars, schedule meetings, and coordinate logistics for internal and external engagements
• Prepare materials for strategic reviews, planning sessions, and company events
• Handle executive correspondence and communications with professionalism and discretion
• Maintain organized systems for company records, documentation, and confidential information
• Support organizational processes and identify opportunities to improve efficiency
• Coordinate projects and initiatives across teams with clear communication and follow-through
• Manage vendor relationships and office operations as needed

What We're Looking For

• Proven experience as an Executive Assistant or in a similar administrative support role
• Exceptional organizational and time management abilities with the capacity to juggle multiple priorities
• Excellent written and verbal communication skills
• Proficiency with email, calendar systems, and productivity software
• Absolute discretion and ability to manage sensitive and confidential information
• Strong problem-solving orientation with a proactive, can-do mindset
