Role Overview
The Enrollment Specialist, Counselor Coordination at Selerix serves as a core remote contributor within Client Services, reporting to the Manager of Benefits Support and Enrollment Operations. You execute the precise hand-offs that let recruited and credentialed counselors arrive fully ready for each client engagement—covering profile matching, license confirmation, carrier paperwork, training logistics, technology access, and travel setup. Under senior guidance you steadily build independent judgment so that every engagement moves from schedule confirmation to successful launch without gaps, while growing deep knowledge of employee benefit products and Selerix systems.
Day-to-Day Responsibilities
- Advance enrollment assignment completion for W2 and 1099 counselors according to locked-in schedules, following direction from the manager or Enrollment Success Manager.
- Match counselor profiles, active licenses, carrier appointments, and availability against the specific demands of each assigned engagement.
- Monitor workload volume during peak periods and surface coverage shortfalls or readiness issues the moment they appear.
- Run the licensing checklist for every engagement, verifying contracted counselors remain in good standing and escalating any deficiencies.
- Process carrier appointment documentation so each counselor's status is current before the engagement start date.
- Maintain accurate license and appointment data for the active counselor roster under senior oversight.
- Help keep contracted counselor training materials current and highlight any sections that require refresh.
- Schedule counselor training sessions covering enrollment workflows, technology platforms, and credential setup as directed.
- Support live training delivery by guiding counselors through hands-on use of enrollment tools.
- Book hotels, rental cars, and flights for onsite counselors within established budget and timeline limits.
- Validate travel bookings well ahead of travel dates and immediately report changes or problems to the manager.
- Expand practical understanding of common employee benefit products including medical, life, disability, accident, critical illness, and hospitalization plans.
- Achieve working fluency in Selerix enrollment technology, benefits enrollment software, call-center systems, and electronic appointment tools.
- Assist post-enrollment review meetings by handling invitations, capturing notes, and assembling deliverables.
- Confirm SharePoint access so scheduled counselors can reach account notes before sessions begin.
- Track engagement details and keep records up to date inside Monday.com and Microsoft Bookings.
- Communicate promptly and professionally with counselors and internal partners, escalating any risk with complete context.
Who We're Looking For
- Zero to two years of experience in employee benefits, benefits enrollment, call-center enrollment, or a closely related area.
- Prior coordination, scheduling, or administrative support experience in a deadline-driven setting is preferred.
- Comfort working inside structured processes that experience seasonal volume peaks is a plus.
- Working knowledge of employee benefit offerings or the ability to acquire that knowledge quickly.
- Strong organizational skill and careful attention to detail when executing checklists across multiple simultaneous tasks.
- Clear, professional written and verbal communication.
- Ability to rapidly master the Selerix enrollment platform, Microsoft 365 applications (Teams, Bookings, SharePoint, Excel), and Monday.com.
- Associate or bachelor degree in business, human resources, or a related field preferred; high-school diploma or equivalent required.
- Active license in applicable insurance lines (Life, Health, Accident, Long-Term Care) preferred but not mandatory at hire; candidates without current licenses must obtain and maintain all required licenses within a defined period as a condition of continued employment.
