Description 

The Business Services Assistant (BSA) role at Paul, Weiss presents an exciting entry-level opportunity for individuals eager to launch their careers in a prestigious and dynamic law firm. This position offers a unique chance to gain hands-on experience in a fast-paced environment, supporting various administrative and operational functions critical to the firm’s success. Through assignments across various Legal Practice Groups and Business Professionals teams and a comprehensive training and onboarding program, this experience will equip the BSA with a wide range of skills.

The Business Services Assistant will work alongside experienced professionals and will provide critical back up support when others are out of the office. The BSA will contribute to high-profile projects and will gain invaluable insights into the legal industry. Principal Duties and Responsibilities:

  • Client Service: Deliver outstanding client service to both internal and external clients.
  • Client Interaction: Welcome and assist clients and manage incoming client phone calls.
  • Administrative Support: Heavy email management via MS Outlook. Arrange appointments and meetings (including virtual platforms such as Zoom and MS Teams) and maintain attorney calendars. Process Conflict Check Requests and New Business Memos and manage the scanning, printing, and photocopying of documents. Reserve conference rooms, coordinate car services, and manage travel arrangements.
  • Database Management: Update attorney time entries, contacts, and marketing initiatives in relevant databases.
  • Document Production: Create and revise documents using MS Word, Excel and PowerPoint.
  • Financial Administration: Prepare and submit expense reports and vendor invoices using Emburse Enterprise.
  • Project Assistance: Support overflow work across both Legal and Business Professionals teams and special multi-month projects as needed with individual Business Professionals teams

Qualifications 

  •    Educational Background: A Bachelor’s Degree is required.
    •    Technical Proficiency: Proficiency in the Microsoft Office suite required.
    •    Communication Skills: Strong verbal and written communication capabilities, with a keen focus on detail and customer service.
    •    Professional Attributes: Must be a professional, proactive, and energetic team player.
    •    Organizational Skills: Exceptionally well-organized and detail oriented.
    •    Project Management: Ability to manage multiple projects within a deadline-driven environment.
    •    Urgency and Flexibility: Capable of acting with a sense of urgency when necessary and willing to work overtime, including weekends and holidays, potentially on short notice.
    •   Interpersonal Skills: Ability to cultivate and maintain professional working relationships with attorneys and business professionals.

Work Schedule and Onboarding Details.
Standard working hours are from 9:00 AM to 5:00 PM, Monday through Friday. During the initial training and onboarding phase of five months, BSAs are required to be onsite five days a week. Following the successful completion of the onboarding phase, BSAs will transition to a hybrid schedule, consisting of four days onsite and one day working remotely.

Salary:

$55,000. Paul, Weiss offers competitive compensation and benefits packages. The firm considers a number of factors when determining compensation, including, but not limited to, education, years of experience, levels of experience, competency levels and other relevant skills and qualifications
