InsideOutVAS is hiring an HVAC Dispatcher & Operations Coordinator (Job ID: CLAGOL1) to serve as the front-office anchor for a fast-growing US heating and cooling company. About the Role

This is a high-impact, career-oriented position supporting one of the Tampa Bay area's most trusted HVAC providers, which serves close to 10,000 commercial and residential customers across Pasco, Pinellas, and Hillsborough counties. You'll own front-office operations and deliver calm, white-glove service year-round. Because the work follows seasonal demand, expect a fast-paced, high-call-volume rhythm through the Florida spring and summer, then a shift toward process improvement and database cleanup during the quieter winter months.

Key Responsibilities

• Field incoming calls, schedule appointments, handle follow-ups, and answer basic billing questions with patience and empathy.
• Coordinate field technicians so the right person reaches the right job at the right time.
• Manage customer records, texts, and job scheduling in HouseCall Pro and Podium while keeping data accurate.
• Review the daily schedule board to confirm jobs are closed out, invoices go out promptly, and parts requests are tracked.
• Follow up on small outstanding balances (such as $90 service fees) to keep accounts current.
• Use slower periods to refine internal processes and prepare the business for the next peak season.

Qualifications

• 3 to 5+ years as a dispatcher, receptionist, or customer service representative; home services experience (HVAC, plumbing, electrical) is a plus.
• Native or near-native English with a polished phone presence, plus fluent Spanish.
• Hands-on experience with HouseCall Pro or comparable software such as ServiceTitan.
• A self-directed work style and a genuine interest in long-term stability (1+ year commitment).
• Reliable high-speed internet, a dependable power setup, and a quiet remote workspace.

Schedule: Monday to Friday, 8:00am–5:00pm EST. Pay: $7–$9 per hour.
