Location: The Administrative Assistant position is located at our North American Headquarters in the AT&T (Batman) Building in downtown Nashville, TN. Job Purpose
As Hankook continues to grow as a market leader in North America, we are seeking a highly organized and proactive Administrative Assistant to support multiple members of the senior leadership team and help drive operational efficiency across departments.
This role is ideal for someone who enjoys keeping teams organized, solving problems, managing competing priorities, and ensuring day-to-day operations run smoothly. The Administrative Assistant will serve as a key partner to leadership by handling administrative and operational responsibilities that help departments function more effectively and efficiently.
The ideal candidate is resourceful, adaptable, detail-oriented, and possesses excellent interpersonal and communication skills. This individual should be comfortable managing sensitive information, coordinating across teams, and acting as a gatekeeper for executive time and priorities.
Objectives
- Support senior leadership to ensure company goals and operational priorities are achieved efficiently
- Maintain and improve internal administrative processes and workflows
- Coordinate schedules, communications, and operational logistics across departments
- Help keep day-to-day operations organized, efficient, and running smoothly
- Serve as a reliable point of contact for administrative and office-related matters
Responsibilities
- Manage executive scheduling, calendars, meetings, and communications
- Coordinate internal and external meetings, including off-site arrangements
- Handle travel arrangements and logistics, including accommodations, transportation, and itineraries
- Process invoices, expenses, and payment requests through company software systems
- Assist with budget tracking and expense management for leadership team members
- Provide office management support, including ordering and maintaining office supplies
- Serve as the main point of contact for company vehicle coordination and office parking
- Organize team communications, events, and administrative workflows
- Act as a gatekeeper for executive schedules and priorities
- Maintain professionalism and confidentiality regarding company operations and leadership matters
- Support special projects and operational initiatives as needed
Qualifications
- Bachelor’s degree preferred
- Project management or coordination experience preferred
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Professional demeanor with strong interpersonal skills and a positive attitude
- Comfortable working in a fast-paced, dynamic environment
- Ability to exercise discretion and maintain confidentiality
- Proficiency with Microsoft Office and willingness to learn new software systems
- Highly adaptable, dependable, and solutions-oriented
- Prior administrative experience is helpful but not required
