Executive Assistant

GWI

Weekly office requirement: 3 days per week
Employment type: Permanent
Seniority level: Mid-senior
Language: All stages of the recruitment process will be conducted in English

At GWI we’re always looking for extraordinary people who thrive on making an extraordinary impact. Right now we’re looking for an Executive Assistant to play a key role in our Business Assistance team in London. If that’s you, and making a difference gets you out of bed in the morning, keep reading. It could be the start of something, well, extraordinary.

Sounds great, what will I be doing? 🤔

As our Executive Assistant you’ll be the engine that keeps our Executive Team moving. You’ll provide high-quality, proactive support to three senior leaders — helping them stay focused, organised, and ahead of the curve. This isn’t a heads-down admin role; it’s a high-trust, high-impact position at the centre of a fast-moving, data-driven business.

You’ll serve as the primary point of contact for all matters pertaining to the Executive Team, from highly confidential communications to forward planning, travel, and events. You’ll work closely with our existing EA team in a collaborative, autonomous environment where your ideas and initiative are genuinely encouraged.

A few things you’ll be responsible for:

👉 Diary management and gatekeeping for the Executive Team — prioritising, protecting, and structuring their time so they can focus on what matters most

👉 Managing all business travel logistics, including visas, itineraries, and expenses
👉 Serving as the primary point of contact for internal and external communications on behalf of the Executive Team, including sensitive and confidential matters
👉 Supporting the circulation of board and leadership packs and ensuring actions are followed up
👉 Organising meetings, off-sites, lunches, dinners, and office events — from logistics to hospitality
👉 Supporting the smooth running of the UK office, including onboarding of senior hires and assisting during large exec-facing events

It’s also fun; shaking things up is what working for GWI is all about. You’ll need to be flexible, comfortable with continuous change, and working in a high-tempo environment.

What do I need to bring with me? 🧳

You’ll need to be able to demonstrate the core skills this role requires. You don’t have to tick all the boxes right away; the important thing is that you’re willing to learn. Here’s what the team will be looking for in you:

👉 Proven EA experience (ideally in  tech, SaaS, or growth companies) supporting C-suite leaders, with the instincts and trust needed to work at this level.
👉 High proficiency in Google Suite and Microsoft packages

👉 Able to move with speed, clarity, and intention in a fast-changing and uncertain environment. An ability to spot what matters quickly, make informed decisions, and pivot and adapt without losing momentum
👉 Excellent attention to detail with an ability to deliver accurate, high-quality work that others can rely on by checking the facts, thinking through the impact, and getting the details right the first time.
👉 Excellent communication skills with an ability to share information and ideas clearly, succinctly, and in the right way for a senior audience, while listening properly, asking good questions, and creating space for others to contribute. Also able to handle sensitive information confidentially and professionally.
👉 Strong problem-solving skills with an ability to identify challenges, understands their root causes and develops practical, effective solutions.
👉 Collaborates with AI effectively, ethically, and safely, using it as a thinking partner woven into how we work and solve problems, without losing sight of human judgement, while staying curious about its evolving capabilities and limits.

Equally important is attitude. We want people who think big (to make an impact), ask why (to find a better way), and show respect (to everyone, at every level, all the time). Those are our values, and they’re a big part of what we’re looking for in you.
