Executive Assistant

Mary's Place, a nonprofit organization based in Seattle, King County, is hiring a Full Time Executive Assistant to support our leadership team and strengthen operations across our organization.

About the Role

As Executive Assistant at Mary's Place, you'll be the backbone of our executive operations, managing schedules, communications, and logistics for senior leadership while helping coordinate the complex, mission-critical work of serving our guests. You'll work in a fast-paced nonprofit environment where no two days are identical and your organizational excellence directly enables our programs to succeed.

What You'll Do

• Manage calendars, meetings, and travel arrangements for executive staff, ensuring efficient time allocation across competing priorities
• Prepare meeting agendas, take minutes, and track action items to ensure accountability across teams
• Handle correspondence, email management, and information flow between departments and external partners
• Coordinate special events, board meetings, and community engagement activities
• Maintain confidential files and databases with attention to accuracy and privacy requirements
• Manage office supplies, vendor relationships, and administrative budgets
• Support program teams by documenting processes, organizing files, and improving operational efficiency
• Serve as primary point of contact for staff, guests, and community partners seeking support from leadership

What We're Looking For

• Exceptional organizational and time management skills with ability to juggle multiple priorities
• Professional written and verbal communication abilities
• Proficiency with Microsoft Office, Google Workspace, and scheduling software
• Demonstrated ability to maintain confidentiality and handle sensitive information professionally
• Proactive problem-solving and strong attention to detail
• Genuine commitment to serving homeless individuals and advancing our mission
• Experience in nonprofit, healthcare, or mission-driven environments is valued
