What You'll Do Manage calendars and email across three companies with strong prioritization judgment and triage authority Serve as a strategic filter and decision-support advisor, screening requests, crafting responses, and guiding next steps Prepare executive-quality materials including board documentation, leadership reports, and meeting briefings with precision and confidentiality Monitor cross-company initiatives, deliverables, and timelines to maintain visibility and keep execution moving Drive coordination across departments by bringing stakeholders together, following up on commitments, and unblocking bottlenecks Identify and streamline recurring processes through documentation and systems improvements Support financial administration through basic QuickBooks workflows, including transaction coding and reconciliation assistance Coordinate marketing and administrative projects as a tactical executor (supporting, not directing, strategy) Champion automation and AI tools by testing solutions, documenting efficient workflows, and training team members Deliver proactive executive support through preparation, context-setting, and advance planning Skills & Qualifications 4–8+ years partnering with C-suite or senior leadership, ideally across multiple business units or entities Proven track record improving operational performance through process redesign, system building, or execution acceleration Skilled calendar and inbox manager with authority to make decisions independently within defined boundaries Experience producing board-level materials, executive dashboards, reports, or similar high-stakes documentation Demonstrated ability to coordinate across teams, sustain momentum, and navigate ambiguous, fast-moving environments Proficiency with productivity and collaboration software (project management, documentation, communication platforms) Openness to exploring and implementing AI tools for efficiency gains About HireHawk…
