Your Responsibilities Manage inbound communications with empathy and professionalism, serving as the primary point of contact for clients and clinical staff Oversee collections workflows—gathering co-pays and deductibles at service delivery, coordinating with billing personnel, and resolving claim issues with clear, compassionate communication Record and organize daily operational expenses, tax documentation, and bank transactions using QuickBooks and Google Sheets, ensuring accuracy and auditability Implement financial efficiency measures, including configuring autopay arrangements for recurring vendor bills and streamlining administrative procedures Build and maintain a well-organized digital and physical filing system using color-coding and logical categorization Respond to email communications at least three times daily with detailed, action-oriented replies that give clients and staff confidence that their needs are being handled Own project completion from start to finish, taking accountability for every task until it reaches full resolution without prompting What We're Looking For Minimum three to five years of professional experience in medical office management, mental health clinic operations, or senior-level executive assistant positions A strong background in mental health environments (highly valued) Expert-level proficiency in QuickBooks, Google Workspace tools (Sheets, Docs), and mental health practice management software Knowledge of mental health CPT codes and billing terminology (a significant advantage) Excellent responsiveness and reliability—you return calls and messages quickly and maintain consistent availability Emotional intelligence, flexibility, and composure when managing multiple priorities in a dynamic…
