About the Role As an Executive Assistant at Autodesk, you'll do far more than manage a calendar. Based in Canada, you'll anticipate needs before they surface, safeguard confidential information, and bring order to a fast-moving, globally connected team. The ideal person is a proactive self-starter who turns complexity into smooth, dependable operations. Key Responsibilities Own the Senior Director's calendar, arrange meetings, and coordinate domestic and international travel. Track executive spending, prepare expense reports, and submit them promptly while keeping budget timelines in view. Partner with leadership to build agendas and materials, capture meeting minutes, log action items, and chase deliverables to completion. Organize virtual and in-person gatherings on and off site, handling logistics, venues, activities, and catering. Administer email aliases, distribution lists, shared directories, and associated access permissions. Coordinate seamlessly with fellow executive admins on scheduling and company-wide events. Act as a contact point for departmental purchasing, including PC tracking, vendor management, and broader asset oversight. Work with outsourcing partners on staffing requests and contracts while ensuring local compliance. Issue purchase orders, validate invoices, and process payments for contingent worker costs using the Supplier Central portal to onboard vendors and follow approvals end to end. Qualifications Bachelor's degree. 3–5 years supporting senior executives in a fast-paced, multinational setting. Outstanding time management, organization, and multitasking, with comfort knowing the role extends beyond a standard 9-to-5. Proven composure under pressure and a consistent record of meeting deadlines. Skilled with Microsoft Office Suite, both Mac and Windows, plus Slack, Microsoft Teams, and SharePoint. Tech-savvy and confident using AI tools in daily work. Strong written and verbal English communication and relationship-building across all levels and regions. Willing to travel locally and internationally and occasionally work outside typical hours to support a distributed team.
