Virtual Assistant (Part-Time | Remote)

About the Role

LTD Scale is seeking a highly organized and proactive Virtual Assistant to provide administrative and operational support to a growing business. This role is ideal for someone who thrives in a structured environment, enjoys managing multiple priorities, and takes ownership of tasks from start to finish.

You’ll play a key role in supporting daily operations, client communications, follow-ups, documentation, and process management while working closely with leadership and the broader team.

Schedule

  • Monday to Friday
  • Preferred Hours:
    • 9:00 AM – 12:00 PM Pacific Time Zone, or
    • 9:00 AM – 1:00 PM Pacific Time Zone
  • Must be available to attend a weekly team meeting every Monday from 11:00 AM – 12:00 PM PST

Key Responsibilities

  • Provide general administrative support
  • Answer and manage inbound phone calls professionally
  • Monitor and respond to inquiries received through the company website’s Contact Us page
  • Prepare and send invoices to clients
  • Send scopes of work, proposals, and contracts to prospective clients
  • Follow up with prospects after meetings and maintain communication pipelines
  • Utilize existing templates, workflows, and SOPs to ensure consistency
  • Support HR tracking and documentation through internal systems
  • Maintain accurate records and updates within company platforms
  • Assist with ongoing administrative projects and process improvement initiatives
  • Complete action items assigned during weekly team meetings
  • Learn new processes and take on additional responsibilities as the business grows

Qualifications

  • Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, or similar remote support role
  • Experience using Monday.com is required
  • Strong organizational and time management skills
  • Excellent follow-up and task management abilities
  • Ability to work independently with minimal supervision
  • Professional written and verbal communication skills
  • Comfortable managing multiple priorities and deadlines
  • Detail-oriented with strong problem-solving abilities

Preferred Experience

  • Client communication and customer support
  • Invoicing and administrative coordination
  • CRM and project management systems
  • Process documentation and SOP implementation
